Academic Course Prefix Guidelines

These guidelines establish protocols for course prefixes for courses (academic subjects) maintained in the course catalog, schedule of classes and in student records.Ìý

What are Course Prefixes

Course prefixes are academic subject codes that reflect academic disciplines or fields of study.

New Requests

  • Requests for new course prefixes must be submitted using the curriculum inventory management (CIM) system in accordance with established curricular governance and calendars.
  • Most commonly, new prefixes are proposed and created in conjunction with new academic programs.Ìý
  • They are represented as four-character academic subject codes in the course catalog (e.g., HIST, ACCT) and have a corresponding short description limited to 30 characters, and a formal (long) description limited to 50 characters.ÌýÌý
  • Prefixes reflect academic disciplines. They may notÌýbegin with or include the type of academic organization (e.g., C for Center, D for Department) or degree type (e.g., M for master's, B for bachelor's).Ìý
  • Prefixes shouldÌýnotÌýbe created for only one or two specialized courses within a broader discipline. Use the primary academic subject code, when feasible, to facilitate class searches and readability of transcripts.Ìý
  • Unique course prefixes areÌýnotÌýapproved for the same disciplines or subject descriptions (e.g., interdisciplinary subjects offered by more than one department).Ìý
  • New course prefixes areÌýnotÌýapproved on an experimental or interim basis. Rather, trial or temporary courses should be offered under existing department or program course prefixes.Ìý
  • Course prefixes are assigned to academic organizations (most commonly to academic departments, but may be created for colleges, centers, etc.) for purposes of review and reporting.

Change Requests

  • Requests for changes to existing course prefixes must be submitted using the curriculum inventory management (CIM) system in accordance with established curricular governance and calendars.
  • Existing course prefix changes will only be approved under exceptional circumstances. Changes are not approved for the sole purposes of marketing or differentiation of offerings based on instruction mode, tuition, budget or location.
  • Course prefixes are used in institutional reporting (both internally to Â鶹Ãâ·Ñ°æÏÂÔØand to the Colorado Department of Higher Education [CDHE] and are linked to courses and curriculum throughout university systems. Changing a prefix for a course may have significant downstream impacts, both to Â鶹Ãâ·Ñ°æÏÂÔØinternal reporting and systems as well as to CDHE reporting to the Commission on Higher Education, Legislature or other state reports. For these reasons, justification of the need for a prefix change must be detailed on the CIM Miscellaneous Admin form. Ìý
  • If approved, active courses under the former prefix will be updated with the new prefix and remain linked to their former course version to preserve repeatability, grade replacement, degree audit functionality and other related academic processes.Ìý

Note: If a course prefix change is approved, the university will make a good faith effort to update Â鶹Ãâ·Ñ°æÏÂÔØBoulder systems where feasible; however, we cannot guarantee that all systems, reports, historical records or downstream processes will reflect the change. Departments are also responsible for maintaining documentation of both the previous and new course prefixes to preserve data lineage and support any ongoing reporting or operational needs.

Inactivation Requests

  • Requests for inactivation of existing course prefixes must be submitted using the curriculum inventory management (CIM) system in accordance with established curricular governance and calendars.
  • When an academic prefix is approved for discontinuation, all courses under that prefix must also be submitted for inactivation using CIM.
