Process

Departments and Programs in Arts and Humanities, Natural Sciences and Social SciencesÌý

Process:

  • Each semester, Unit determines temporary faculty appointees according to teaching needs and ensures employment eligibility. Lecturers may teach up to 5 credit hours, or be at 49% time across all temporary positions on the Â鶹Ãâ·Ñ°æÏÂÔØBoulder campus. Instructional associates may teach up to four courses, or the equivelant (12 credit hours) each semester, on all Â鶹Ãâ·Ñ°æÏÂÔØcampuses and through Continuing Education. Instructional Associates are term-limited to up to three continuous calendar years.Ìý
    • Typically, lecturer appointments are not posted and recruited for on Â鶹Ãâ·Ñ°æÏÂÔØCareers, but rather sourced at the department/program level. However, if there is a need to recruit a lecturer through Â鶹Ãâ·Ñ°æÏÂÔØCareers, the unit should follow the recruitment process for Visiting Faculty.
      • HRSC will process the background check (BGC) when they receive the request to hire. For rehires, the HRSC will determine if an updated BGC is required.
  • Faculty appointee completes Courses Agreed to Teach Grid (CATTG) and submits to the Unit.
    • The CATTG must be completed and signed by the faculty member, rather than by department/program staff on the faculty member’s behalf, and must include all courses taught by the faculty member within the Â鶹Ãâ·Ñ°æÏÂÔØSystem in each term. The purpose of the CATTG is to ensure that faculty members are aware of their full teaching load (including courses in multiple academic units, e.g. Continuing Education) and take responsibility for complying with University policy.
  • Unit submits the following to their Faculty Affairs Coordinator for review via email at CAS-Faculty@Colorado.edu.
    • HRSC Spreadsheet with A&S columns.
      • Use the best information available to determine whether the individual will be hired as a Lecturer (1419) or Instructional Associate (1465).ÌýÌý

      • NOTE: Hiring departments are responsible for submitting the HRSC spreadsheet to HRSC@colorado.edu during the Academic Year.ÌýÌý

  • Submitted HRSC Spreadsheet reviewed by A&S Faculty Affairs Coordinator. ÌýÌý
    • If the spreadsheet is incomplete, or formatted incorrectly, it will be returned to the unit for completion.
  • Once approved by A&S Faculty Affairs Coordinator, A&S Faculty Affairs uses the submitted HRSC Spreadsheet to create a mail-merged offer letter for all lecturer, temporary faculty hires on the HRSC Spreadsheet. Ìý
    • The A&S Faculty Affairs Coordinator will use the appropriate offer letter template for Instructional Associates or Lecturers as indicated on the HRSC spreadsheet.Ìý
  • A&S Faculty Affairs Coordinator routes final, approved offer letters for all signatures via DocuSign with cc: to the following: Ìý
    • Human Resources Service Center
  • Once each letter is routed in DocuSign, the first approver will be the department's faculty affairs liaison.Ìý
    • The department faculty liaison should review the letter for accuracy, and initial next to the department/program chair/ director’s signature line once they have confirmed all details are correct. The department/program coordinator will also be prompted to upload two files for inclusion in the DocuSign envelope.
      • The candidate's CV;
      • The candidate's completed CATTG
    • Once completed by the department’s faculty affairs liaison, the hiring packet will be sent to all necessary signers for completion.ÌýÌý
  • If new hire, hiring unitsÌýfollow HRSCÌýprocedures to submit personal information.
  • Appointment entered in HCM by the College of Arts and Sciences' Central Human Resources Service Center.
